Preparing your Mac for Replacement

*Don’t wait until ten minutes before your computer arrives to go through these steps!  You’ve spent three or four years amassing data on your old computer—it’ll take some time to
get that important data where it needs to go. Plan on at least a couple of hours, possibly more, to prepare for the change-over.

YOUR FILES – BUSINESS AND OTHERWISE
All of your SMC-related data should already be saved on the network to ensure that important data isn’t compromised (in the unlikely event that your computer is lost or stolen).
Saving to the network also ensures that your data is backed-up on a daily basis. If you have not already made a habit of saving your SMC-related data to the network, then you’ll need to
move it there from the hard drive (MacHD) of your current computer. You have two campus network options: Z:/--your personal network share; or O:/--your departmental or project
share (Share$). 

To ensure that none of your critical data is lost, SMC will be backing up the contents of the computers that are to be replaced. These data backups will be saved for six months to be restored in an emergency. To ensure maximum redundancy and safety for your data, it is imperative that you copy any project files from your applications and any other work files to your Z: drive. Please remember that IT will not copy your data from your old computer to the new one.


If you have saved personal files on your computer (backgrounds, music, videos, photos, etc.), you’ll want to move them off the hard drive and put them somewhere
safe. We recommend that you move these files to an external or flash (thumb) drive.  Online storage options are also available, many of them free. Contact the Helpdesk if you
need help setting up an online storage account.


How to move data from your computer to the SMC network shares:

From the Desktop
1. First, locate your Z drive on the desktop. Go to the desktop and click the Command and K button. Type in smb://smcfiles/facstaff$/username and click
enter. You'll need to log in with your mikenet credentials. Open or create the folder on Z: to which you want to save your files.

2. From the Desktop, highlight the files you wish to move. You can highlight more than one file at a time by holding down the COMMAND key while clicking on each
of the files you want to move.

3. Once you’ve highlighted all the files to be saved, drag them to the network folder that was created in Step 1, then release the mouse button. This action will copy
all the highlighted files into the Z:\ folder.

Moving Your Files:
First check your “Documents” folder for documents you want to move. Note: Do NOT attempt to move your Documents folder in its entirety; you will only succeed in creating a useless shortcut. Instead, to move your files, follow steps 2-4 from the “From the Desktop” section, above. There will be other files in the corresponding folders—for example, your music will be found in the “Music” section. Be sure to search for any and all documents that you will want to save during the transfer.

Moving personal documents, photos, music, and video files to a flash drive or web storage*
Select your flash drive or web storage drive from the Desktop. Then, using the same method that you used for “Desktop” and “Documents”:

  • Move any documents that are not work related
  • Move all personal photos (the usual file extensions for theseare: .jpg, .gif, .bmp, .tiff, .png)
  • Move all personal multimedia files (both audio and video)(.avi, .mpeg, .mp2, .mp3, .wav, etc.)

Special note regarding iTunes
You should Deauthorize your old computer before moving to the new one. To Deauthorize please do the following: 1. Open System Preferences, 2. Select “Apple ID”, 3. Select “Overview” and then select "Sign Out". Enter your password and follow the prompts.

Saving Your Browser Favorites (Bookmarks)

     1.  From Safari’s toolbar menu, select File, then select Export Bookmarks…
     2. Browse to the Z: folder you created in From Your Desktop, above.
     3. Click on “Export”.
     4. You should see a page that says “You have successfully exported these settings.”Click on “Finish”.

If you use a browser other than Safari, please contact the IT Helpdesk (x2020) for assistance in exporting those bookmarks. You’ll receive instructions on importing your favorites back when you receive your new computer.

Email

If you have personal folders, contact the helpdesk for help.

Fax and Shared Mailboxes:

If you have access to a Fax Mailbox or a Shared Mailbox you must re-add these Mailboxes to your Outlook program on your new computer. They will not be automatically transferred. To make sure that you have access to everything you need, take note of which Mailboxes you have access to presently. Please follow the steps below and write down all mailboxes to which you have access in the box.
     1.Open Outlook.
     2. Click on “Tools” and from the drop down menu choose “Accounts”

     3. Click on "Advanced" in the bottom right

 

     4. Write down all mailboxes which appear in the "People I am a delegate for" box.

Programs/Software

Your new computer will come pre-loaded with Microsoft Office 2019 and the Adobe Suite. Your old computer has been audited in order to identify any College-owned software that may be licensed for your use. This licensed software will be reinstalled on the new computer.

If you use any custom software applications that are not College-owned, it’s your responsibility to reinstall that software on your new computer.
