This article describes updates made August 2024 by ITS Media Services to Middlebury Institute learning spaces with Polycom video conferencing and projection controllers. To simplify classroom projection and video conferencing, audiovisual room controls in most rooms are now located within the Polycom touchscreen at each podium.

Overview Video of Polycom Touchscreen Operations

Turning Classroom System On/Off
On the Polycom screen located at the podium, press the Room Controls tab on left side of screen, then press the On, Off or Reset button under Presentation Source and next to Power.
Selecting Source to Project on Screen
You will need to choose which source (PC or HDMI) to share on the screen in the classroom. Press the PC or HDMI button next to Source. Make sure whichever device you choose is turned on.
NOTE: This shares the selected source image locally and in the classroom only. The source image will not appear in a zoom meeting.
Share Content to Project in the Classroom
Once you’ve turned the system on and selected your source go back to the home screen of Polycom touchscreen by selecting Home tab on left side of screen. You will share content on the classroom screen by pressing the Share Content button on right hand side of Polycom touchscreen, next to the other Zoom Controls.
Start or Join a Zoom meeting on Polycom Touchscreen
On the Polycom touchscreen, press New Meeting to create a new zoom meeting that you will not need access to at a later date -OR- press the Join button to start a meeting that has already been created under your personal account. When you click Join you will first be prompted to enter your meeting ID and passcode. You will only be able to record meetings you have created under your personal account.
NOTE: If you wish to record your meeting and have access to it later, use only the ‘Join’ button for Zoom meetings.
Share content on Zoom
To share content in a Zoom meeting, you will need to connect to the Zoom meeting from whatever device you will be using to share your presentation. If you have already connected to the Zoom meeting from the Polycom Touchscreen at the podium and you’d like to share your presentation from either the PC or HDMI source, you will also need to join the zoom meeting from that device and make sure you do not join audio from the second source you have added into the Zoom meeting.
If you are using a laptop as your second source, make sure your speakers are also muted on your device, as well as not joining audio. This will help eliminate any/all feedback when
connecting zoom meetings to multiple sources in the same room.
NOTE: if you’d like to share content that requires sound within the zoom meeting, simply do not join audio, but select the Share Sound option located on the right side of the Share Screen menu in the Zoom meeting.
