Using Zoom with a Poly Touch Panel

This conference Room is a Zoom Room with microphone and camera integrated in the Audio/Visual system for high quality Zoom engagement without use of Zoom on a laptop.

For any Zoom meeting with more involved aspects like Breakout Rooms, multiple speakers scheduled at different intervals, or other special features, ITS advises users to contact Media Services five business days before the event for planning and direct support.

 

Control the Zoom Room A/V system using the touch panel:

Select Room Controls along the left margin, and turn it On.

Select Home along the left margin.

- Begin an unscheduled New Meeting on the touch panel Home screen; open Participants and Invite people, then close the the window with the top right X.

- Join a scheduled Zoom meeting by entering its Meeting ID and then Password. These can be found on both Zoom mobile and desktop apps listed under Meetings, as well as the Zoom.us web portal.

- While in a Zoom meeting, Share Content over the Source selected from Room Controls; you can either Share to Meeting or View Locally.

- Control the volume level in the room with the fader bar.

- Mute or un-mute the Zoom Room's audio for remote participants by selecting the microphone icon.

- Stop or start video with the camera icon.

- Control the camera angle by selecting Camera Control and use the arrows and plus and minus magnifying buttons to pan, tilt and zoom in or out with the camera.

- You can also take advantage of the system's automated follow functions:

- "Speaker Focus" will reframe the camera on the loudest sound source in the room.  If someone is speaking clearly for more than a moment, then the system can effectively re-frame on a single person.

- "Auto-Framing" uses motion detection to track the most active figure in the room.  If there is no commotion in the space, and only one person is walking around, then the camera can effectively follow them regardless of the individual speaking.

- If you would like the camera to include a view of two or more people moving in the room, then toggle on "Multi-Focus Framing".

- Exit the camera control window by hitting the "X" at the top right.

- View Participants in Speaker, Gallery or other formats.

- Open the Participants window to review attendance, Invite new people, or set engagement preferences by selecting More; you can "Mute All", "Unmute All", "Invite" new meeting members via email, or find further participant options in the "More" popup menu. Close the window with the top right "X" icon.

- Manage the view of yourself and others on the projection screen on the "View" window: "Speaker", "Thumbnail" to highlight shared content, or "Gallery" to have all participants with their camera turned on in view.  At the bottom of the window is a button that will "Hide Self View" and "Show Self View" on the screen.

- Control Breakout Rooms, Chat and other features with the " . . . " (More) button.

- To share content, plug either a USB-C or HDMI cable into your device, but don't bother to open Zoom on your laptop. Hit the "Share Content" button, scroll down, and then "Share to Meeting".  The content will appear on screen and on Zoom for remote participants.

- To End or Leave the Zoom call, select the red End button on the Touch Screen and then specify your preferred option.

 

Please remember to turn the system Off at the Room Controls window when you are done.
